Headquarters Office Services: TMS will provide a mailing address, telephone, fax, computer, file space, optional record storage and e-mail availability. TMS will receive and respond to mail, answer all phone calls and in general serve as the primary office for the association client.

Organizational Management: TMS will provide a staff person who will serve as the organization's Executive Director. That person will be the initial contact for the organization and its members. He/She will fulfill all the duties of a captive staff person.

Membership Management: TMS will maintain all membership records on its computer system, updating them on a regular basis and providing the association with the desired reports on a periodic basis.

Dues Billing/Collection: TMS will bill members for their dues as established by the association, follow-up with a second billing if necessary and enter all paid dues in the membership records. TMS can accept credit cards and will have the money deposited directly to the association's bank account.

Publishing / Newsletters: TMS is capable of designing and publishing the association's newsletters and mailing them to the members or sending them via e-mail.

Accounts Receivable/Payable: TMS's staff will handle all funds coming into the association, depositing them to the association's account and keeping accurate records thereof. TMS will also send out bills when necessary. Reports on receipts and debits will be sent to the association on an agreed upon schedule.

~~~~~~~~~~Budget Preparation/Oversight: The Executive Director will work with the Board of Directors of the association to formulate the annual budget. He/she will maintain budgetary oversight and issue periodic reports.

Meeting Planning/Site Selection: TMS's staff will inspect sites for conferences and conventions, report on these to the Board of Directors and assist in the selection of the site and the planning of the programs for the meeting.

Contract Negotiations: TMS will conduct all negotiations with hotels, convention centers, speakers, audio/visual, music and any other facilities or groups involved in the conference and /or convention. Because of the years of experience that we have in this field, we can often negotiate for the best prices and services.

Liaison To Board of Directors: The Executive Director will serve as the liaison to the Board of Directors and the committee chairmen of the association. He/she will keep in touch with them, facilitate their tasks, attend the Board meetings, take and publish the minutes, send out all materials necessary in preparation for a Board meeting and do Board training as necessary.

Conventions/Conferences: In addition to the Site Selection and Contract Negotiations, TMS will help with program planning and securing speakers. If there are exhibits, TMS will help to secure exhibitors. TMS's staff will also handle designing of the brochure, mailing the brochure, all registration, serve as liaison to the hotel/convention center and will be on site to handle the myriad of details to insure a successful meeting.

Grant Writing: TMS has the capability of writing grants on behalf of an association and would be willing to explore that possibility.

Long Range Planning: The Executive Director will be fully capable of implementing a Long Range Plan and helping the Board to establish goals

Strategic Planning: Members of TMS's staff are trained in assisting the Board of Directors to think strategically and to develop a plan to guide the future of the association.

Special Events: The staff of TMS has extensive experience in planning for and running various types of special events to secure non-dues income for the association. These events range from dinners to golf tournaments. TMS can implement all the necessary details to develop a successful function.

Fund Raising Campaigns: TMS can design and implement a direct mail campaign for charities, philanthropies and other non-profit associations. The campaign can also include the training of volunteers to conduct a telethon.

Volunteer Training: TMS will work with the Board of Directors to conduct orientation sessions for new members, orientation sessions for newly elected Board members, training sessions for committee chairmen and committee members so that everyone knows the goals of the association and how he/she fits into that picture.

Board Development: In addition to the Board training, TMS can periodically conduct leadership training sessions for Board members to enhance their understanding of their role in the association.

Review of Policies/Procedures: The staff of TMS has experience in writing organizational policies, by-laws, and procedures. TMS will periodically review these and recommend changes, if necessary.

Telephone Services: TMS will maintain a separate telephone line for each association (an "800" number, if desired) and answer that phone with the association's name. All inquiries will be responded to within twenty-four hours.

Mail Receipt: TMS's office will serve as the mailing address for the association. All mail will be opened on a daily basis, responded to as necessary or forwarded to a Board member for response.
